Welcome to Studio Twelve. By accessing our website, booking a class, or participating in any session, you agree to the following Terms and Conditions. Please read them carefully.
1. Booking and Payment
All bookings must be made in advance through our online system, powered by Acuity Scheduling. Payment is required at the time of booking unless otherwise agreed.
2. Cancellation Policy
We understand that plans can change. To maintain fairness for all clients and ensure smooth operation, we enforce the following policy:
Cancellations made with more than 24 hours’ notice: Your session credit will be returned to your account for future use. No refunds are issued.
Cancellations made within 24 hours of the class start time: The session is forfeited. No credit or refund will be issued.
No-shows: Failure to attend a booked session without notice will result in loss of credit. Repeated no-shows may result in your account being blocked from further bookings.
This policy allows us to offer spots to other clients and respects the time of our instructors.
3. Participation and Liability Acknowledgment
By booking or attending a class, you confirm that:
You are in good health and able to participate in Reformer Pilates.
You will notify the instructor of any injuries, health conditions, or pregnancy before taking part.
You understand that Reformer Pilates involves physical exertion and carries risks of injury.
You participate voluntarily and assume full responsibility for any risks, injuries, or damages.
Studio Twelve and its instructors are not liable for injuries, loss, or damages incurred during your participation.
4. Risk Assessment
Our studio follows strict health and safety protocols. Potential risks and control measures include:
Slips, trips, and falls: We maintain a clean, clear studio layout to reduce hazards.
Incorrect equipment use: New clients are encouraged to take foundation classes and ask for guidance.
Pre-existing conditions: Clients must complete a PAR-Q form before participating. We may request medical clearance.
Overexertion: Instructors monitor class intensity. Clients are encouraged to work within their limits.
Equipment malfunction: All equipment is regularly checked and maintained.
Illness transmission: We uphold studio hygiene, provide sanitiser, and ask unwell clients to stay home.
5. Client Responsibilities
You agree to:
Inform instructors of any health concerns or pregnancy before class.
Follow all instructions provided.
Wear appropriate clothing and grip socks.
Stay home if unwell.
Avoid exercises you don’t understand or feel uncomfortable performing without guidance.
6. Data Protection & GDPR (Acuity Scheduling)
We take your privacy seriously and handle personal data in compliance with the General Data Protection Regulation (GDPR).
What We Collect
When you book a class, we collect your name, contact details, date of birth, and relevant health information (e.g. PAR-Q responses).
Why We Collect It
To manage bookings, tailor sessions for your safety, and communicate with you about classes or updates.
How We Store It
Data is stored securely via Acuity Scheduling, which complies with GDPR and data protection standards.
Who Has Access
Only authorized staff can access your data. We do not sell or share it with third parties.
